Capturing value‑added services before month‑end close

Value-added work is harder to bill when the request, the work and the price are recorded in different places — or not at all. The basics: turn every client ask into a record, close every job with a quantity or hours, and check each kind of work against your pricing or inclusion terms before the month closes.

  1. 01Record the request
    • Give client requests one place to land — a shared mailbox folder, a request log, or a work order created on the spot.
    • Ask supervisors to turn phone and walk-up requests into a note the same day: who asked, what, which client.
    • Keep the client's request with the completion records and the terms that apply — together they support a charge if it's questioned.
  2. 02Record the work
    • Close every work order with a count, a quantity or hours — not just 'done'.
    • For hourly projects, keep a labor sheet against the project, not just in payroll.
    • Photos help for rework and damage, especially when the work was the client's request.
  3. 03Map it to a rate
    • Every kind of extra work your clients ask for should have a rate-card line or a contract clause — or a deliberate decision that it's included.
    • When a client asks for something new, agree the price before the work, in writing.
    • Review the rate card when a client's work changes, not only at renewal.
  4. 04Close the month
    • Match requests to work, and work to invoice lines, before invoices go out — the month-end checklist guide covers this.
    • Record waivers as decisions, with who approved them and the work covered, to tell deliberate waivers apart from missed charges.
